Qatar Museum

Each year, the State of Qatar hosts a week-long event dedicated to art, culture, and diplomacy. Designed to foster cultural dialogue and strengthen international ties, the initiative brings together figures from across the worlds of politics, art, architecture, and heritage.

For each edition, a different country is highlighted, creating space for exchange and collaboration between Qatar and its global partners. For the 2024 edition, 700 guests, including 400 international and 300 local participants, were invited by the State of Qatar to take part in a curated programme of exhibitions, meetings, and cultural experiences.

Black Flower Agency was in charge of managing the entire guest journey. We coordinated travel and accommodation logistics, from premium flights and airport transfers to hotel bookings and tailored welcome packages. Guests were able to select the activities, exhibitions, and encounters most relevant to their interests, with personalized itineraries built around their individual profiles.

Using Swoogo, we implemented a multilingual registration platform with dynamic pathways adapted to guest type and preferences. This system enabled real-time data tracking, attendance monitoring, and the production of live dashboards with key insights, including dietary requirements, arrival times, meeting schedules, and chosen sessions.

Each guest received a secure digital portal featuring their complete itinerary, covering every detail from arrival logistics and hotel information to private appointments, cultural visits, and networking events.

To ensure clear and consistent communication, we deployed a multi-channel strategy combining automated emails, live confirmations, and WhatsApp messaging, delivering a seamless and informed experience from invitation to departure.
